Cancellation Policy

Clear guidance on cancellation timing, fees, and replacement tenant requirements.

Policy reference: This page summarizes our live cancellation policy and should be read alongside your signed contract. For contractual interpretation, please refer to Terms & Conditions clause 5.2.

Policy Summary

If your circumstances change, cancellation outcomes depend on timing relative to your contract start date and whether a suitable replacement tenant is secured.

Within 7 Working Days Full deposit refund (before contract start date).
After 7 Days, Before 31 July £75 cancellation fee, remaining £24 refunded.
After Contract Start Release only via approved replacement tenant.

1. Cancellation Before Contract Start Date

Within 7 working days of deposit payment

If you cancel within 7 working days of paying your deposit and before your contract start date, your deposit can be refunded in full.

After 7 working days but before 31 July

If you cancel after 7 working days of paying your deposit, but before 31 July, a £75.00 cancellation fee applies and the remaining £24.00 is refunded.

If you cancel after 31 July, your full deposit is retained to cover the cost of re-advertising your room. You may remain liable for rent depending on whether a replacement tenant is found.

2. Cancellation After Contract Start Date

If your contract has already started, the standard route to release is finding a replacement tenant.

  • The replacement tenant must pay the deposit and sign the contract.
  • Where approved, outstanding rent can be transferred to the replacement tenant's account.
  • We reserve the right to refuse any proposed replacement tenant if they are deemed unsuitable for the accommodation.

3. How to Submit a Cancellation Request

  • Email your request to info@thestudentlodge.co.uk with your full name, booking reference, and room/building.
  • State whether your contract has started and, if relevant, share replacement tenant details.
  • Our team will confirm next steps, amounts due, and any refund timeline in writing.
